ビジネス英語メールの書き出し例文集 | 実用的!とネイティブが推奨

英語メールは、内容の性質によって、書き出しの一文が決まります。

特にビジネスメールは、件名と書き出しを読んで、受信者が「メールの目的」をある程度読み取れるように書くのが鉄則です。

今回は、メールでのビジネスコミュニケーションで大切な、「書き出し」の部分にフォーカスをあて、事務的なお知らせ、良い知らせや悪い知らせ、感謝、お詫び、お礼メールなど、様々なケース毎に分けて、ビジネス英会話アットイングリッシュのネイティブ講師が作った、使えるフレーズをご紹介します。

英語メールの件名の例

まずは件名(Subject Line)を書きます。件名欄は非常に大切です。
件名は、メールの目的や内容がすぐに分かるよう、簡潔かつ具体的に書きましょう。

※会議の日時などを知らせるメールであれば、上記のように、日時を件名に入れると、相手の頭にも残り易いでしょう。

英語メールの宛名の書き方

英語のビジネスメールでの宛名の書き方

ビジネス英語メールでは、宛名は必ず書きましょう。適切な担当者に届き、確実に読まれるようにするためです。

「宛名」の書き方

社外宛てなど、丁寧に書く場合は、Dear を入れます。

男性の場合 : Dear Mr. John Smith, または、Dear Mr. Smith,
女性の場合 : Dear Ms. Jane Smith, または、Dear Ms. Smith,

同僚など親しい相手であれば、ファーストネームで出しても良いです。

Hi Sarah,

相手の名前が分からない場合の「宛名」の書き方

担当者の名前が、分からない場合は

男性: Dear Sir,
女性: Dear Madam,

To Whom it May Concern

と書きましょう。

部署やグループ宛ての書き方

部署宛てのメールや、担当者名が分からない場合は、以下のようになります。

自己紹介(初めての相手へのメール)

初めてメールする相手の場合は、書き出しの部分に、あなたの名前、部署名、(社外であれば会社名)を書き、その後にメールの目的を書きます。

必要な場合は、自社の簡単な説明も入れると良いでしょう。

「お知らせ」メール

事務的なお知らせは、以下のような表現で始めます。お知らせ事項は、電話より、記録に残せるメールになる事が多いため、特に使用頻度が高いフレーズです。

※下に行くにつれて、カジュアルな、くだけた表現になります。相手や状況によって使い分けましょう。

冒頭にポジティブな言葉が並ぶため、読み手は、その後に良い知らせが続く事が分かります。どんな内容なのか、ワクワクしますね。

今年の第二四半期の販売目標を達成しましたので、お知らせします。

悪いニュースを知らせるメール

悪いニュースを知らせるのは気がひけますが、ハッキリと事実を知らせ、その背景や理由も出来るだけ説明するようにしましょう。

I am sorry to inform you that our meeting will be postponed until next Wednesday, because of the delayed arrival of the new sales adviser.
新しいセールスアドバイザーの到着が遅れますので、会議は次の水曜日まで延期となります。

I am sorry to have to inform you that the negotiations with XXX Corporation, which we had been dealing with for the last 2 months, have broken off. We were unable to reach a mutual agreement due to some conflicts, especially in the shareholding portion.

メールで問い合わせをする時の書き出し例です。

依頼、お願いの際のメール

相手の忙しさや都合に配慮する言葉を入れられると、好印象です。

I understand you must be extremely busy at this time of the year, but I would really appreciate it if you could __.

Could/Would you please __?

Would it be possible for you to change your vacation schedule as I anticipate that we will be busy during that time?
その時期は忙しいので、休暇のスケジュールを変えて頂けませんか?

I’m wondering if you could help us by preparing the documents that we have to file to the Ministry at the end of this month.
今月末に省庁に提出しなければならない書類の作成を手伝って頂けないでしょうか。

I would be grateful if you would give me some advice on developing our future business plan in the agricultural industry.

急ぎのメール

緊急の、英語メールの書き出し件名欄に Urgent: と入れた上、最初の一文で「緊急」である事が分かる表現を入れましょう。また、期限も加えると、相手のより素早い対応を促せて効果的です。

I apologize for this short notice but I am wondering if you could complete the AAA document before November 22?
直前のご連絡となって恐縮ですが、11月22日までにAAA書類を仕上げて頂けませんか。

I am sorry to rush you, but could you please send us the strategic proposal for developing our business in the South-East-Asia region, by next Monday morning?
急かして申し訳ないのですが、来週月曜の朝までに、東南アジア地域での事業展開についての戦略案を送って頂けますか。

I don’t mean to hurry you, but I haven’t received the samples that I asked you to send me by the end of the morning, yet. Could you let me know right away what is happening?

クレーム・苦情メール

書き出しの冒頭で、クレームであること、緊急である事が分かるように書き、その後具体的な状況の通知や、その他相手に望む対応などがあれば、明記しましょう。

I wish to draw your attention to an issue with the delivery of your product XXX. We placed the order on September 3 and it was supposed to reach us in two days. However, we have not received it yet and have not heard anything from you about it. Could you let us know the current delivery status, as well as when you can deliver it, ASAP?
XXXのデリバリーの問題について、ご連絡します。9月3日に発注し、2日後に届くことになっておりましたが、まだ届いておらず、それについての連絡も頂けていません。現在のデリバリーの状況と、いつ届くのか、至急ご連絡下さい。

I am (deeply) disappointed with your new service. It is regrettable that it did not meet our expectations. I plan to stop using it immediately, and also request that you provide a refund for it. Could you let me know what your procedure is with regard to this?

返信メールの書き出し

相手からの連絡を受けてのメールなので、with reference toや、further toなど、「(頂いたメールの)~の件について」という表現が重宝します。

With reference to your last email regarding the current situation with the XXX project in Dubai, I have some new information that may be of interest to you.
ドバイのXXXプロジェクトの現状について頂きました、この前のメールに関してですが、ご興味をお持ち頂けそうな新しい情報があります。

Further to your email, please be informed that we have now received the revised draft.
頂きましたメールにつきまして、ドラフトの修正版を受け取りましたので、お知らせします。

返信が遅れた際のお詫びメール

何かしらの理由で、相手への返事が遅れた場合のお詫びの言葉の例文です。親しい間柄の場合は簡潔に、そうでない相手であれば、丁寧に、遅れた理由も添えると良いでしょう。

Please accept my sincere apologies for the delay in replying to your email. I was not able to get back to you earlier, as I was occupied with some urgent business.
メールへの返信が遅れましたこと、心からお詫び申し上げます。緊急の仕事がありまして、すぐにお返事する事ができませんでした。

素早く、真摯に書きます。
問題の原因について言及し、出来れば今後の対応策なども添えましょう。

Unfortunately, I am booked for another project during the next two months and I don’t think I can contribute as effectively to your team as might be expected, whilst I am involved in another line of business.

添付書類を付ける際のメール

ビジネスメールへの書類や画像の添付は、とても一般的です。添付書類の説明は、下記のような表現で行います。

Please find attached a copy of the report.

Please see attached.

The draft of the agreement is as attached.

As you can see in the attachment, Mr. Smith has written some comments on your project proposal paper.

最後の部分(締め)

メールの案件、内容に沿って、締めの部分を考えましょう。

英語メールの結びの言葉(Sign-off サインオフ)

英語メールの最後の部分、署名の前に置き、相手への敬意や感謝の気持ちを表します。

Regards, ビジネスメールで非常に一般的。

Kind regards, ビジネスメールで一般的。少し軽いトーン。

Best, シンプルで使いやすいサインオフ。

Best regards, Best, とほぼ同さじですが、こちらの方が少しフォーマル。

Sincerely, 少し古い感じだが、ビジネスでよく使われるサインオフ。

Thank you, 感謝の気持ちが伝わるサインオフ。

Thank you in advance, 相手に返事や何かしらのアクションを期待している時に使う。

Respectfully, 地位の高い相手などにメールを送る際に使う。

その他、同僚などにもう少しカジュアルに送りたい場合は、以下のようなサインオフも使えます。
